Ukraine's Push to Digitize Employment Histories
Ukrainian citizens have until June 10, 2024, to have their paper work records converted into digital format. This initiative is designed to streamline how people verify their employment history and qualify for automatic pension awards. The Pension Fund of Ukraine has confirmed that there are no penalties for missing this deadline. The digitization effort covers work periods before 2021, after which employment data began being recorded in an electronic registry. So far, over 10 million work records have been digitized across the country, making it much easier for individuals to access their employment history information.

This means citizens don't need to rush, but those who are 5 to 10 years away from retirement should consider digitization an important step. Insurance records from 2004 onward are already in the system, and partial data dating back to 2000 is also available.
How Automatic Pension Awards Work
To receive an automatic pension, individuals must consent to data processing and provide their bank account details. According to Oleksandr Maletskyi, "the less time that has passed since the record was created, the easier it is to correct any errors," highlighting the value of timely digitization. Employers are expected to initiate the digitization process first, but individuals can also submit scanned copies of their work records independently—either through an online application or in person at a Pension Fund service center.
The Pension Fund reports that over 50,000 people have already used the automatic pension award system. This process simplifies receiving pension payments because, as Maletskyi explained, "if we have information about a person's employment history, we know everything about them—so why should they have to come in?" Citizens can check their digitized work records in their personal account on the Pension Fund's e-services portal, making it easier to access the information they need.
Digitizing work records in Ukraine represents a major step toward modernizing the social security system, cutting red tape and simplifying procedures for citizens. Successfully completing this transition will boost the efficiency of automatic pension awards, potentially improving the lives of thousands of Ukrainians planning to retire in the coming years.
