After moving in Poland, it is not enough just to transport your belongings: you need to inform institutions, employers, and banks about your new address. For Ukrainians with accounts in foreign banks, this is important so that cards and documents are not sent to the old address. This is reported by InPoland.

Changing address in Poland: who to provide new data to

First of all, it is worth checking where the previous address is used. This applies not only to state registers but also to service contracts. After moving, it is necessary to update the information:

  • at the tax office;

  • at ZUS, if you receive benefits;

  • with the employer;

  • with the bank;

  • with the internet provider and television supplier.

For individuals who meet the conditions for its application, the ZAP-3 form is provided. It allows informing the tax office of the current address. In particular, it is used by taxpayers with a PESEL identifier who are not engaged in entrepreneurial activity.

The current address can also be indicated in the tax declaration. The employer needs to be informed separately: this data is necessary for personnel documents, correspondence, and PIT-11 information, based on which the employee calculates taxes.

For recipients of assistance or pension payments in Poland, it is important to timely provide the new address to ZUS. Employees should also clarify with the employer the updates to the insurance records.

Registration in Poland: deadlines and procedure

A separate procedure after moving is registering your place of residence. It is done at the city or gmina administration at the new address. You can simultaneously deregister from the previous registration.

In general, for Polish citizens, EU, and EFTA citizens, there is a 30-day deadline. For other foreigners who are subject to registration obligations, it must be done no later than the fourth day after settlement. If the stay in Poland does not exceed 30 days, an exception applies.

The possibility of online registration is not available for everyone. According to clarifications from gov.pl, foreigners from outside the EU and EFTA, who are not family members of citizens from these countries, must show documents regarding the legality of their stay at the institution.

Updating the address should not be confused with other procedures, including updating PESEL UKR data. Registration in the gmina does not replace a separate notification to the bank, tax office, or service providers.
