How HURMA Transformed HR Operations

According to Hurma Blog — HR: The Olena Zelenska Foundation has rolled out the HURMA HR system to automate recruitment, onboarding, absence tracking, statistics gathering, and preservation of institutional knowledge. Previously, data was scattered across spreadsheets, shared calendars, chat messages, and employees’ memories-leading to lost information and delays of up to a week when compiling reports. With HURMA, collecting statistics now takes just a few clicks, new hire preparation has been cut by three hours, and the onboarding process is three days shorter.

This charitable organization, with Olena Turchak serving as HR Director, runs its HR operations through the foundation. A closely linked initiative-the 'Youth Spaces 12–21' project-also uses the shared HURMA environment. Before automation, all recruitment and personnel data had to be gathered manually, which demanded significant time and effort.

“Recruitment: we had to manually collect responses from multiple platforms,” notes Olena Turchak.

Gathering statistics on employees’ children could take up to a week, and staff turnover rates were calculated by hand-another time-consuming task. “We used to just write in some internal chat… and of course, messages got lost there,” Turchak adds, describing the challenges employees faced.

Key Benefits of HURMA

After implementing HURMA, all processes-including recruitment, absence tracking, one-on-one meetings, onboarding, document management, organizational structure, events, surveys, knowledge base, and OKR management-were consolidated into a single module. “We keep everything in one module in HURMA, although we’ve split it into two branches,” says Turchak, highlighting the advantages of the new approach.

The organization operates across two offices, and the transparent calendar has simplified absence management. Thanks to HURMA, statistics collection time has been reduced by a week, new hire preparation by three hours, and onboarding is three days faster. The volume of unstructured documents has also decreased-from 28 pages of drafts to organized blocks within the knowledge base.

“Time to employee productivity is money,” Turchak emphasizes.

Overall, the adoption of the HURMA HR system has significantly boosted efficiency at the Olena Zelenska Foundation, cutting time spent on various processes and streamlining access to information.

The foundation’s implementation of HURMA underscores the value of technology in modern human resources management: automating workflows can sharply increase productivity and reduce risks tied to data loss. This move also reflects the organization’s commitment to innovation, which can enhance the effectiveness of its projects and initiatives.
