Digitizing Work Records in Ukraine

According to ХВИЛЯ: The digitization of work record books is an ongoing initiative by the Pension Fund of Ukraine (PFU), designed to be completed in just one office visit. During the appointment, PFU staff will scan the physical work record book in the presence of its owner and then upload the data directly to the Unified State Register of Insured Persons. This move is part of a broader modernization of Ukraine's social security infrastructure.

Employers are legally responsible for submitting their employees' work records for digitization. To date, over 6 million books have been submitted by enterprises, with the Pension Fund having received more than 10 million books in total. The acceptance of documents continues without any set deadline.

"An individual simply comes in, their work book is scanned in their presence, and they don't have to input anything themselves." - Oleksandr Maletskyi

Verifying Your Data and the Importance of Digitization

Every employee can verify their uploaded data through the Pension Fund's online portal or its mobile application. Oleksandr Maletskyi further clarified that

"the work record book is stored by the insurer, the employer. And they are the ones who submitted them."

This step is crucial, as it is advisable to digitize the work book promptly while there is still an opportunity to clarify any details. The digitization process simplifies the tracking of citizens' employment history in Ukraine.

The nationwide digitization of work records represents a significant modernization of Ukraine's labor activity accounting system. This process not only facilitates easier access to information about work history but also ensures data preservation in a digital format, reducing the risk of loss. Given the active participation of employers, the swift completion of digitization is anticipated, which will positively impact the accuracy of future pension calculations and social benefits for employees.

As the digitization initiative progresses, it's essential for retirees to understand the specific rules surrounding their work records. This is particularly relevant as the Pension Fund recently clarified guidelines that may affect how pensioners can access their employment history.
