The Pension Fund continues to accept scanned copies of work books after June 10
The deadlines for digitizing work books have been extended: scanned copies are accepted even after the deadline
According to Главком: Ukrainians and employers should not worry: even after June 10, 2023, the Pension Fund will continue to accept scanned versions of paper work books. This date marks the end of the official five-year transition period, which started with the entry into force of law No. 1217-IX on June 10, 2021. According to the new rules, the presence of a physical carrier is no longer mandatory, but it is strictly forbidden to discard old paper documents.
How is the digitization of work books progressing
At the moment, over 10 million paper work books have already been digitized, while about 1.5 million copies have not yet been converted to electronic format. This indicates the success of the transition to digital services. All online services of the Pension Fund of Ukraine are functioning smoothly, providing users with free access to the necessary information. For comparison: before the reform, processing paper documents took significantly more time and resources.
Citizens can upload scanned copies of their work books through their personal account on the Pension Fund's electronic services web portal, using a qualified electronic signature (QES) or the BankID system. As explained by Alexander Maletsky,
“until June 10, employers (insurers) and citizens – hired workers (insured persons) can digitize paper work books on the Pension Fund of Ukraine's electronic services web portal. However, after this date, this opportunity remains available in the future.”
Thus, the transition to electronic record-keeping of labor activities is becoming increasingly relevant, simplifying processes for all parties involved. It is important to emphasize that the innovations not only optimize the Pension Fund's operations but also allow citizens to store their labor data in a convenient and accessible format.
The preservation of the opportunity to submit scanned copies of work books after the completion of the five-year transition period indicates a gradual shift to electronic document circulation in Ukraine. This step contributes to increasing the efficiency of the Pension Fund's operations and reduces the administrative burden on citizens and employers.
