How Pharmacy 9-1-1 Adopted the HURMA ATS System

One of Ukraine's largest pharmacy networks, Pharmacy 9-1-1, has rolled out the HURMA applicant tracking system (ATS) to streamline its recruitment workflow. This move addressed major pain points in a process that previously relied on manual Excel spreadsheets and data updates. As a result of the implementation, the chain achieved the following:

  • A fourfold increase in the number of filled positions,
  • A 43% reduction in routine administrative tasks,
  • Report generation now takes just minutes instead of half a day.

Olga Kukhtina, the chain's manager of personnel development and HR projects, noted that before HURMA, the company lacked reliable, centralized vacancy statistics.

“We were using manual Excel sheets. Everyone basically kept their own numbers. There was no solid, company-wide data on open positions. It was impossible to see how many vacancies existed or how they were being handled over time,” she explained.
The HURMA rollout took four months and included integration with Ringostat, multi-posting to job boards, and building a knowledge base of job templates—all of which greatly simplified the recruitment process.

The Benefits of Automating Recruitment

By automating key steps, Pharmacy 9-1-1 dramatically cut down on manual work.

“A company that wants to grow and develop can’t keep managing spreadsheets and reports by hand. It’s inefficient, inconvenient, wastes time, and still leads to errors. Automation eliminates those mistakes,” Kukhtina said.
She also highlighted that HURMA now stores all candidate data in a single system, making it easy to analyze processes and prevent information loss: “You know what the huge advantage is? Candidates stay in the system. We have a large team with many pharmacies, so there are rotations, departures, and new managers coming in—but the data stays with the company, not with any one person.”

The system also provides real-time vacancy tracking, aiding decision-making. “Now we can see exactly which positions are open, which ones are problematic, and which have been stuck for a long time. We can focus on those, make an objective assessment, find out why, and take action,” Kukhtina summarized. As a result, the network gained live analytics and eliminated time-consuming issues like updating candidate statuses, maintaining spreadsheets, and generating reports.

Overall, adopting the HURMA ATS has been a key step for Pharmacy 9-1-1 in building a modern, efficient recruitment process that meets the demands of today's pharmaceutical job market.
