As of June 8, 2026, the system for registering document submissions for obtaining a Polish visa has undergone changes. After completing all verification stages, applicants will no longer book a date immediately but will be placed on a special waiting list. This was announced by the operator of the VFS Global visa centers.
How the registration for a Polish visa now works
VFS Global explained that all the main stages of registration are retained for applicants.
As before, it is necessary to:

create and activate an account;

choose a visa center, category, and subclass of the visa;

upload a passport photo;

pass face recognition and verify the applicant's presence.
After successfully completing these procedures, the system will automatically place the person on the waiting list for verified applicants.
What happens after registration
After entering the queue, the applicant will receive an email with confirmation and an individual registration number.
When there are available slots at the chosen visa center, the system will send an additional message to the email.
It is only after this that one can proceed to book a specific date and time for the visit.

How much time is given to confirm the registration
The new rules allow a limited time for reserving an available slot.
After receiving the notification about available dates, the applicant will have 48 hours to complete the booking.
If confirmation is not made within this time, the application will be automatically removed from the waiting list.
VFS Global also noted that during the time in the queue, the user can independently cancel the application through their personal cabinet if the need for a visa application becomes irrelevant.
It is worth noting that in Poland, there is a gradual decrease in the number of Ukrainians in the labor market. Some Ukrainian labor migrants are returning home, while others are moving to Western European countries in search of higher wages.
