According to ХВИЛЯ: Ukraine is continuing its effort to digitize the paper-based employment record books for citizens whose work history began before 2004. The final deadline to submit these documents for conversion into electronic format is June 10, 2026. The Pension Fund of Ukraine (PFU) has outlined the procedure for checking the processing status of these records through online accounts.
Either the employee or their employer can submit a scanned copy of the employment record book via the designated web portal. To monitor the progress, employers should access their online insurance account and navigate to the 'Employment History Information' section. Citizens, for their part, can check the information in their personal account under the 'My Applications' tab.
Document Status Indicators
The system provides several status options after files are uploaded:
- Completed: This indicates that the scanned copies have been processed and the individual's employment history data has been updated.
- Completion Canceled: This signals that errors were found, requiring the documents to be resubmitted.
Other statuses may indicate that a specialist is still reviewing the request.
The transition period for this reform, which began in 2021, is set to last five years. If an individual fails to submit their data by the deadline, no fines will be imposed. However, processing benefit claims could be delayed due to the need for manual verification of the employment history.
