Transition Period for Digitizing Work Records Nears Its End

According to ХВИЛЯ: The Pension Fund of Ukraine has announced that a five-year transition period for digitizing traditional paper work record books will conclude on June 10, 2026. Following this date, physical books will still be accepted as valid proof of employment history. This digital system for tracking employment was introduced in 2021, though the registry of insured individuals has been accumulating data since the year 2000. This move aligns Ukraine with a broader European trend of modernizing state record-keeping.

Since 2021, the primary source for employment information has been the electronic registry, not the paper document. It is noted that data from this registry has served as the main document for calculating pensionable service since 2004. Oleksandr Maletskyi, a representative of the Pension Fund, stated:

"In practice, it is already implemented. It was introduced in 2021 and is operational." - Oleksandr Maletskyi

He also emphasized that paper work books remain crucial for those who have not yet digitized their older records. "If someone hasn't submitted theirs, they still can. We accept and will continue to accept everything. Our task is to gather all information about a person's work history," added Maletskyi. For individuals who have not digitized their past entries, the pension application process will remain unchanged: they will need to submit their physical work record book to the Ukrainian Pension Fund.
