Recruitment Automation at Pharmacy Chain 911

Pharmacy chain 911, one of Ukraine's largest pharmacy networks, deployed the HURMA ATS system to automate its recruitment processes—a major step in modernizing its talent acquisition operations. Previously, the company relied on manual methods using Excel spreadsheets, which made it difficult to track vacancy statistics effectively. The HURMA rollout took four months and delivered impressive results: the number of filled positions increased fourfold, while routine tasks were cut by 43%. Report preparation time dropped from half a day to just a few minutes.

Olha Kukhtina, manager of personnel development and HR projects at Pharmacy 9-1-1, noted that before HURMA, recruitment depended entirely on manual data updates.

“It was all manual Excel sheets. Essentially, everyone had their own set of statistics. There was no reliable company-wide data on vacancies,” she explained.
With automation, the company now enjoys unified reporting and a centralized job board, greatly simplifying process management.

Why Automation Became Essential

Automation became a necessity due to intensifying competition in the labor market.

“In the pharmaceutical sector, the talent shortage has grown. There are many employers vying for staff, so we need to process candidates quickly and work with them effectively,” said Olha Kukhtina.
Additionally, HURMA ensures that candidate information is securely stored, preventing data loss when team members change.

“You know what the huge advantage is? That candidates stay in the system,” she added.

During the HURMA trial, Olha Kukhtina managed around 20 vacancies, allowing her to assess the system's quality, ease of use, and efficiency. She emphasized that the support team received a perfect score of 10 out of 10, reflecting an outstanding level of service.

“The support team scores 10 out of 10—no exaggeration,” she stressed.

Implementing HURMA not only boosted the number of filled positions but also significantly reduced administrative workload.

“Having everything in one system is both more convenient and faster,” added Olha Kukhtina. Reports now take just minutes to generate, enabling managers to make quicker decisions based on real-time data.

“With HURMA, I create reports every day—I can see trends and track dynamics,” she noted.

Ultimately, automating recruitment at Pharmacy 911 with HURMA marked a key milestone in enhancing the HR team's efficiency. Thanks to integrations with job portals and Ringostat, the hiring process has become more controlled and transparent—a critical advantage in the complex pharmaceutical market.

The adoption of new technologies like HURMA highlights the growing importance of automation in human resource management, especially amid fierce competition for talent. Modernizing recruitment processes not only boosts HR team productivity but also enables faster, higher-quality candidate processing—essential for companies aiming to attract top-tier talent.
