Pharmacy Chain 911 Automates Its Hiring Process
A case study on how the 911 pharmacy network streamlined recruitment using the HURMA ATS system reveals major improvements in talent acquisition. The company moved from manual Excel-based tracking to a centralized platform, achieving the following results:
- a fourfold increase in the number of filled positions;
- a 43% reduction in routine administrative tasks;
- report generation in minutes instead of half a day.
As one of Ukraine’s largest pharmacy chains, 911 faced recruitment challenges because many processes relied on Excel spreadsheets and manual data updates. Implementing the HURMA ATS became a essential step to optimize these workflows. Olha Kukhtina, manager of staff development and HR projects at Pharmacy 9-1-1, commented:
“A company that wants to grow and develop can’t manage spreadsheets and reports by hand. It’s inefficient and inconvenient. You waste a lot of time, and errors still happen. Automation eliminates those mistakes.”
Results from Adopting HURMA
The HURMA rollout took four months, during which Kukhtina tested the system on 20 open positions. She noted that the company now has unified reporting, a single space for job listings, and one consistent system that everyone has adapted to. “There was resistance at first because it felt like an extra task rather than a replacement. But now we have a single source for all reports,” she added.
With HURMA in place, recruiters gained access to a centralized candidate database and analytics tools. This speeds up candidate processing and ensures all candidate data stays in the system—a critical advantage given the talent shortages in the pharmaceutical sector. “You know what the biggest benefit is? Candidates remain in the system. Our team is large, with many pharmacies, so there are rotations, departures, and new managers coming in. The information stays with the company, not just with one person,” Kukhtina explained.
HURMA also integrates with job boards and Ringostat, improving communication between the HR team and managers. According to Kukhtina, this integration allows managers to listen to candidate conversations directly from the candidate’s profile. The support from HURMA received a perfect score of 10 out of 10, reflecting its high quality.
The automation results are impressive: the company now fills four times more vacancies, cuts routine work by 43%, and generates reports in minutes instead of half a day. “I create reports every day in HURMA. I can see trends and dynamics. It only takes a few minutes,” Kukhtina summarized.
Automating recruitment through the HURMA system has been a key step for the 911 pharmacy chain in improving its HR operations. By introducing the new platform, the company not only boosted hiring efficiency but also reduced the likelihood of errors common with manual data entry. This, in turn, allowed the pharmacy network to respond more quickly to labor market shifts and meet its need for skilled staff.
In a similar vein, the Olena Zelenska Foundation has also revolutionized its operations by dramatically reducing the time required for data collection. This shift not only enhances efficiency but also highlights the growing trend of organizations leveraging automation to streamline processes and improve overall productivity.
