Pension Fund Debunks Myths Around Digital Conversion of Employment Records

Digital Shift for Employment Records in Ukraine

After June 10, 2026, both policyholders and insured individuals in Ukraine will gain access to a new option: digitizing their paper-based employment records. Importantly, current regulations do not impose any penalties for failing to submit scanned copies of these documents by the specified deadline. This means that those who miss the cutoff date will not lose their accumulated insurance history.

Even beyond June 10, 2026, the Pension Fund of Ukraine will continue accepting and processing scanned materials to build electronic employment records. This includes work periods prior to January 1, 2004, which can still be considered for pension eligibility based on original paper documents. Scanned copies of physical employment books can be submitted through the Pension Fund’s online services portal—by both employers and employees themselves.

“We urge citizens not to fall for misinformation, to remain calm, and to keep their paper employment records safe until they are digitized”

With these changes underway, individuals have the chance to prepare for the transition to digital documentation while holding onto their physical employment records throughout the interim period.

Benefits of Digitizing Employment Records

Converting employment records into digital form marks a major step in modernizing Ukraine’s pension system and moving toward electronic documentation. This will simplify the tracking of work history and reduce the risk of losing critical paperwork. Citizens should pay close attention to the relevant deadlines and requirements to avoid potential complications when applying for their pensions.
