Employers Can Now Use Diia to Verify and Refresh Military-Registration Data, Ukraine’s Defense Ministry Says

New Options for Managing Employee Military Records Remotely

According to ХВИЛЯ: Ukraine’s Ministry of Defense says employers can now use the Diia government portal to remotely reconcile and update the military-registration details of their workers. The online service supports submitting information about:

• hiring or dismissal;
• surname changes;
• changes of residence.

The update process is simple: a company head or designated representative logs into the portal, enters the required information, and applies an electronic signature. No paper copy is needed once the details have been submitted online. According to the Defense Ministry, this will significantly ease the workload for employers and territorial recruitment and social support centers, reduce the risk of errors, and ensure the military registration system contains more current data.

What Gets Refreshed in the Register

Employment-related events such as hiring or termination are reflected in the Unified State Register of Conscripts, Persons Liable for Military Service, and Reservists within 72 hours. In all, the portal can be used to submit three main categories of changes:

• hiring or dismissal;
• surname changes;
• changes of residence.

The ministry says the measure simplifies military record-keeping and cuts down on manual work for businesses.

The rollout of remote military records management through Diia is intended to modernize Ukraine’s military data administration, especially under martial law. The change could make it easier to track those liable for military service and streamline processes for employers and state agencies.
